- Registration for a season (September to November or January to May).
- Communicate with you via email or phone.
- Perform in a public venue.
- Allow us to post photos and/or videos of your likeness online (YouTube, website, or Facebook).
- Support or engage with the chorus in any manner that discloses or utilizes public, personal, or private information.

We have the duty to appropriately and responsibly handle and process your information in accordance with the agreed upon purposes and laws pertaining to usage of personal information. If you do not agree with our policies and practices, please do not use our services. If you still have any questions or concerns, please notify us in writing.
The Olds Community Chorus collects your information and likeness for the following purposes:
Website Data.
As is standard practice with websites, usage data is information our servers automatically collect when individuals access our website. This is recorded in log files and through Google Analytics. Depending on how individuals interact with us, this log data may include your IP address, device information, browser type, and settings and information about your activity on the website, such as the date/time stamps associated with visitors’ usage, pages and files viewed. Any data collected is securely held in strict confidence and will never be given or sold to any third party.
Information collected in person:
- Personal Contact Information at Registration.
Personal registration is required for participation in the chorus. We collect your name (or pseudonym), email address, phone number, and mailing address each season (September – November and January – May).- Your name (or pseudonym) is used in our concert program unless otherwise requested. It is also kept in a securely stored list of chorus members for our records.
Chorus members’ names are kept in a secured permanent record in order to track your attendance. You have the right to review, update, or delete the information we collect from you. Please submit a written request to the board and we will alter our records as requested. - Preferred Pseudonyms. We understand that, for security reasons, you may prefer that your name not be used in any public manner.
- Your name (or pseudonym) is used in our concert program unless otherwise requested. It is also kept in a securely stored list of chorus members for our records.
- Your email address and/or phone number are used in conjunction with your name (or pseudonym) for regular communication with registered members of the current season. These communications provide necessary information for rehearsal and performance expectations, as well as opportunities that might arise from time to time (e.g. a concert or fundraising event you might be interested in). We will do all we can to keep your personal contact information from other chorus members (e.g. using the BCC field in emails).
- Your mailing address will not be used unless deemed necessary. A necessary use might include billing you if you do not return your music at the end of a season.
- Your name. All chorus members’ names are collected when payment is made, whether that payment be by cash, e-transfer, or cheque.
Your name may be collected for other purposes (e.g. admission or sponsorship) when paying by e-transfer or cheque. - Your email if paying by e-transfer.
- Your banking information, whether payment is made by e-transfer or cheque.
- Your mailing address related to your bank account.
- The registration form at the beginning of each season requests permission to include your likeness (photo or video) in the above-mentioned platforms.
- The concerts are often filmed for use on YouTube and our website. If you want to participate in the chorus but are not comfortable with your likeness being displayed, please discuss this with the chorus director.
- It is the individual’s responsibility to remove themselves from photo or videotaping sessions if they do not wish to have their likeness included.
